Bar Manager
Overview:
Run the sports club bar so it acts as a popular and profitable social hub for members and visitors alike.
Reports to: The Management Committee
Time commitment: 10 hours per week
Responsibilities:
Ensure the bar is always stocked and staffed during opening hours for matches, events and socials.
Manage the bar's finances, keeping accurate records and liaising with the Club Treasurer.
Recruit, train and oversee all staff including behind the bar, kitchen, security and cleaners.
Update all licences and accreditation required (such as serving alcohol, entertainment, health and safety and food hygiene) and comply with all the relevant laws.
Manage turnover of products and services in the bar.
Promote the bar as a venue, its regular deals and events for members as well as the general public.
Skills and attributes:
Experience managing a bar.

Able to manage staff (duties, hours, wages and commitments/concerns) and customers.

Chairperson
Overview:
The figurehead of the sports club, leading its affairs and representing the interests of its members.
Reports to: The Management Committee
Time commitment: 8 hours per week
Responsibilities:
Steers the future direction of principal club matters.
Chair meetings and the Annual General Meeting (AGM).
Co-ordinate committee business.
Communicate with club officers and members.

Club Captain
Overview:
A respected role model who leads from the front and also represents the views of all club players. Offers guidance and support to players of all ages and is an ambassador for the vision of the club.
Reports to: The Management Committee
Time commitment: 10 hours per week
Responsibilities:
Leadership (usually of the 1st team) for team-mates and advice.
Represent players across teams on the management committee.
Ensure players’ conduct and behaviour is respectful and matches the club’s expectations.
Help the Coach with training and auxiliary team duties.
Pre-match and post-match administration such as collecting match fees and filing scores.
Support player and volunteer recruitment efforts.
Attend club functions and encourage participation.
Greet new members, teams and officials.

Club Welfare Officer
Overview:
Responds to any concerns over child welfare as well as ensuring robust procedures are in place to protect all children and vulnerable adults.
Reports to: The Management Committee
Time commitment: 6 hours per week
Responsibilities:

Be the first point of contact for any concerns.

Coach
Overview:

Committee Member
Overview:
Serving the club’s members is the primary role of those on a club’s committee and typically, they are elected for a set period of time.
Reports to: The Management Committee
Time commitment: 4 hours per week
Responsibilities:
Attend regular meetings on all aspects of a club’s functions.
Undertake tasks and projects or collaborate with others at the club and beyond.
Support the club’s efforts using personal skills, work experience and contacts.
Make individual and collective decisions that benefit the club.

Fixture Secretary
Overview:
A vital cog in a club’s organisation ensuring that a full programme of fixtures, across age groups, is put in place and fulfilled.
Reports to: The Management Committee
Time commitment: 3 hours per week
Responsibilities:
Arrange fixture lists that match the club’s ability and strength in depth.
Register teams in competitions.
Organise officials and facilities for games.
Supply both teams with directions, timings and captain’s numbers.
Liaise with home teams, opposition, leagues and governing bodies.
Reschedule postponed matches.
Skills and attributes:

Can balance commitments in a variety of competitions.
Understand the club’s player pool and facilities.

Grounds Manager
Overview:
Maintains all of the outdoor areas such as pitches, practice facilities, stands and parking.
Reports to: The Management Committee
Time commitment: 10-25 hours per week
Responsibilities:
Keep the club grounds and facilities safe and in excellent condition for continual use all year round.
Plan and budget work and upgrades required and discuss timescales/costs with the management committee.
Manage any ground staff and recruit, train and support volunteers or paid professionals.
Supervise external contractors on-site and assess all work completed.
Keep in touch with club officials around weather risks and match postponements.
Prepare the playing surface and necessities such as boundary flags or goals for training and matches.
After the games are finished, put materials and equipment away so it is secure and return the facilities to their original state including tidying and cleaning.
Skills and attributes:
Experienced in groundsmanship or willing to learn with the IOG (Institute of Groundsmanship).
Well organised.
Methodical approach.
Good numeracy to prepare quotes and track the costs of repairs and maintenance.

Media/Press Officer
Overview:
To generate regular, positive publicity, raise income and increase membership for the club by working with the media to promote news and activities throughout the year.
Reports to: The Management Committee
Time commitment: 4 hours per week
Responsibilities:
Act as main contact/spokesperson for all media enquiries relating to the club.
Build relationships with local and national media organisations.
Seek opportunities to have the club featured in written press, on TV and online.
Write press releases and articles, take photos and videos (distribute internally/externally).
Manage the club’s social media presence.
In conjunction with the club’s Webmaster, ensure club news is shared online and offline through the website, newsletter and any print communication.

Membership Secretary
Overview:
Managing all types of a club’s membership (such as renewals/subscriptions) and playing a part in retention and member recruitment.
Reports to: The Management Committee
Time commitment: 3 hours per week
Responsibilities:
Register new members.
Renew current members.
Maintain membership database.
Ensure members pay their fees on time.
Record who has or hasn’t paid.
Liaise with the Treasurer on club finances.

Secretary
Overview:
Typically the first point of contact for queries relating to the club. A central figure who knows its inner workings and is adept at balancing a busy, varied workload.
Reports to: The Management Committee
Time commitment: 6-8 hours per week
Responsibilities:
Support the chairperson in efficient running of the club.
Organise meetings and take minutes, including the AGM.
Action or distribute all club correspondence.
Communicate with external parties such as clubs, leagues, governing bodies.
Update club members, volunteers, officers and parents/supporters on club matters.
Report to the committee during the year.
Represent the club at external meetings.
Keep thorough, updated records of contacts for all club members, officials, staff as well as national and regional organisations.

Social Secretary
Overview:
Organising and promoting social events and activities for the club throughout the year. It can boost a club’s popularity, bring in funds and encourage new members to join.

Team Manager
Overview:
Supervising a team means updating everyone on training and matches and acting as the central point for questions and concerns.

Inform players and parents of training sessions and matches.
Oversee logistics such as kit requirements and team travel.
Promote fair play and the club’s ethos.

Treasurer
Overview:
In charge of the club’s finances including record-keeping and reporting.
Reports to: The Management Committee
Time commitment: 4 hours per week
Responsibilities:
Manage the club’s accounts and its income and expenditure throughout the year.
Payment of all bills and settlement of all invoices.
Pay in monies received.
Signatory on club bank accounts.
File obligatory tax, PAYE and NI.
Discuss the financial health of the club with the committee.
Update all financial records.
Create the end of year report.
Appoint third-party auditor to verify accounts.
Skills and attributes:
High level of numeracy.
Competent with IT for spreadsheets and HMRC systems.

Volunteer Co-ordinator
Overview:
The first point of contact for all volunteers, encouraging newcomers to help at the club and organising support and training for those that donate their time.
Reports to: The Management Committee

Pro-active with the recruitment and training of volunteers.
Show volunteers around the club and make them feel welcome.

Keep the website and social media channels regularly updated and engaging.
Oversee any design changes and recruit/brief designer if necessary.
Manage relationships with authors and source club information.
Manage external suppliers (such as hosting and domain names).
Hold administrator permission and manage any other access levels by users.
Manage the website’s GDPR requirements and data security.

Thorough knowledge of the preferred website platform.

Youth Chairperson
Overview:

Youth Representative
Overview:
Acts as the spokesperson for the juniors to ensure their voices are heard regarding club matters. Champions junior participation, coaching and leadership.
Reports to: The Management Committee

Responsibilities:
Attend committee meetings and speak from the juniors’ perspective.
Act as a mentor for juniors.
Assist in the coaching and development of juniors such as Sports Leaders qualifications.
